This month, we are covering the all important Site Inspection.
Site Inspections are very important and should be given careful attention. In essence, site inspections are the last impression of a destination for a client. It is at this moment when they will experience a taste of what their incentive group could experience. Is it what they would want? These high achievers have been everywhere… what makes this hotel, this DMC, this country different? We, at Event Partners Ireland, take site inspections very seriously and we pride ourselves on 100% confirmation post-site inspection rate. Today, we wanted to share few steps that we follow every time to ensure our clients have the perfect visit that will make them come back for more.

Prepare. Preparation is key and a vital part for a successful site inspection. Many times your client will let you know that they will be arriving well in advance, but sometimes you’ll have 24 hours only to organize everything – no matter how much time you have, you are there to take a weight off your client’s shoulders and maintain the highest level of quality to ensure their interest. After all, if you can’t get it right during a site visit designed to impress, why should the client trust you with their event?

Be a strategic partner, not a sales person. Often when clients come on site inspections it is natural that you would want to show them as many venues, hotels, experiences as possible – after all, that’s your chance to make them fall in love with your destination and you need to grab it. But how often do you think whether everything you are showcasing is relevant to your client’s event or group/ guests? Although, it is tempting to demonstrate the endless possibilities that you could offer, you’re better to abstain from ‘selling’ to one particular person and start thinking how you could help your client and become partners in planning a successful event.

Personalise. We love personalising each site visit – props, suppliers welcoming the delegates by name as they tour their venue, gifts, it truly goes a long way. Know your client’s likes and dislikes. We have our own secret way of finding this out. Why not get creative and come up with your own fun way of discovering more about your client?

Connect. Maya Angelou once said – “People will forget what you said, people will forget what you did, but people will never forget how you made them feel.” And we could not agree more. The event organising industry is all about connecting with people. If we have the choice, we always end up choosing the people we enjoy the most to work with. Our clients are the same. Always remain professional but there is room for a bit of fun along the way of course. Find your connection and build on that whilst doing the job at hand.
